Hourly Rate: $21 - $23 ($43,680 - $47,840 per year)

Position Overview

The Autism Community in Action (TACA) is seeking a Program Team Administrator with strong technical skills and a process-oriented mindset. This role is instrumental in providing administrative, logistical, and technical support to the program team. The Program Team Administrator will manage program operations, maintain accurate records, and leverage technology tools such as Microsoft Teams, PowerPoint, Zoom, and EveryAction CRM to enhance program efficiency and effectiveness. Reporting to the Program Director, this role requires an independent, detail-oriented, and highly organized individual with a passion for supporting families on the autism journey.

Essential Functions

• Technical & Administrative Support:
o Utilize Microsoft Teams and OneDrive for effective collaboration and file management.
o Create, edit, and manage PowerPoint presentations for training, outreach, and events.
o Provide Zoom webinar support, including event setup, troubleshooting, and live facilitation.
o Maintain and update program data within EveryAction CRM for accurate tracking and reporting.
• Process & Data Management:
o Develop and maintain Standard Operating Procedures (SOPs) to optimize program workflows.
o Ensure accurate record-keeping and data entry to support program analysis and reporting.
o Organize and manage digital documentation for easy retrieval and audit readiness.
• Event Coordination & Support:
o Assist in planning, scheduling, and execution of virtual and in-person events.
o Support attendee registration process, including managing RSVP lists and tracking participation.
o Coordinate logistics preparation such as organizing supplies, signage, printed materials, and swag bags.
o Manage the shipping or transport of event materials to venues as needed.
o Support updates to event apps or websites, including uploading content and making minor edits.
o Collaborate with internal teams and external partners to ensure smooth execution of key events including the TACA National Conference, TACA Carnival, and Sensitive Santa Events.
• Program Support:
o Assist with TACA’s Scholarship Program, including reviewing applications, coordinating communications with awardees and providers, and administering approved funds.
o Support the Mentor Program by documenting mentor matches, aiding in the matching process, and identifying any process gaps.
o Prepare and coordinate logistics for virtual events, including CRM setup and Zoom configurations.
• Communication & Stakeholder Engagement:
o Draft and distribute program-related emails, reports, and materials with clarity and professionalism.
o Create graphics using Canva for events, outreach, and program updates.
o Support social media efforts by preparing and scheduling posts related to program activities and engagement opportunities.
o Support communications and engagement with volunteers, mentors, and program participants.
o Provide prompt, courteous, and effective customer service in response to program inquiries.
• Additional Responsibilities:
o Coordinate shipping logistics for program materials, supplies, and participant resources to ensure timely and accurate delivery.
o Perform other administrative or project-related duties as assigned by the Program Director.
o Collaborate across departments to support boarder organizational initiatives.

Qualifications

• Associate’s degree preferred but not required; HS Diploma or GED equivalent required.
• 2+ years’ experience in nonprofit administration, program support, or a related field.
• Technical proficiency in Microsoft Teams, PowerPoint, Zoom, and EveryAction CRM required.
• Strong attention to detail, problem-solving skills, and ability to work independently.
• Excellent verbal and written communication skills.
• Ability to multitask and manage multiple deadlines efficiently.
• Experience with social media (Instagram/Facebook) and digital engagement tools is a plus.
• Understanding of Autism preferred but not required.
• Bi-lingual in Spanish is a plus but not required.
